Systematization to improve business processes

Anonim

Beyond the factor of an efficient human resource, correct business decisions and everything inherent in the development of a project, when we think of the expansive process seen as a franchise or opening of branches, without a doubt the secret is in achieving a successful low work system rules, procedures and processes clearly understandable for all operators in their respective positions and with their respective responsibilities.

Understanding that systematization begins with clear work guidelines, we must begin with clear job descriptions (Job Description).

After identifying the number of operators and their functions, we proceed to detail what their routine tasks will be, their responsibilities over the processes and their level of command. In this way, we ensure that each of the team members knows clearly and in writing what their role will be, in what way and achieving what objectives will be at an acceptable performance level for their role.

Once all team members are clear about their role within the process, we move on to the second step, which is to identify the different systems / departments that our business has according to their area.

We understand by system / department the different independent modules that make up the integral process of our product, some of them:

  • Administration Receipt of merchandise Collection

And so we can list as many as the service or product we sell allows.

Once all the systems / departments were detected, we began with the process of systematizing them, drawing up procedures for each system, according to the level of demand sought.

The procedures must be developed in sequential steps and clearly identifiable by the operators. Each system or procedures can have the number of steps that are necessary, it is recommended that they are not more than 15 to achieve the retention of the same by the responsible operator, if this number is exceeded we will be, for sure, before the possibility of partition that procedure in two.

It is vitally important to verify the operation of the procedures to guarantee their success.

These procedures, broken down into steps, will be the composition of the systems / departments, which in turn will form the modules of the company's operations manual, which will be the operational foundations for the achievement of successful and easily expandable processes.

Although the systems propose a “mechanized” way of working and this goes against the principles that aim to develop the participation of human resources within the company, we must recognize that it is essential to achieve an orderly, supervisable work regime with clear rules that allow objective decision-making and in which each and every one of the parties is clear about their role and how to perform successfully, without the need for the leader / manager to have the need to mark a permanent diamond.

Within these systems, the operator who stands out from the rest is easily identifiable, due to his level of application of procedures, work standards, achievement of objectives and other qualifications that make up the function.
