Introduction

Today's technology demands new changes in our companies or organizations every day, as things change over time. Every day technology advances and therefore becomes essential for companies, but it can help us to have an exact control of our information. A business planning system is what we are looking for. Well, being a management system, it will help us more than we think, since it is a flexible software and not very complex to handle.

In this work we will analyze and give the most important points of this business management system and for it to serve us in our organization, how useful it is, because as I said before it is a flexible system. This system has a fundamental purpose and is to provide support to users, clients, giving them quick answers on time to their problems and the efficient management of information, which really generates value for the company. There is already the latest generation ERP that implements new technologies in your system, making it easier to use. But that will be seen later in this brief summary of that management system that is useful for our company.

Enterprise Resource Planning (ERP)

Currently we need tools for our business management and there is a special system for that and it is the system called ERP, but what is an ERP? is a comprehensive business management system this system fully integrates operations and information from all operational and administrative areas of a company. This system has a fundamental purpose and is to provide support to users, clients, giving them quick answers on time to their problems and the efficient management of information, which really generates value for the company. Being a system that offers us an interrelation of all areas of the company and in a "natural" way, so to speak, thus eliminating unnecessary costs and achieving high levels of productivity.

When an organization knows how to redirect its strategies, they can understand that a greater impact is achieved in the planning effort when all the tools are put together, this system has several benefits that can help us to manage our company. An ERP has unique data information, as it covers all areas and processes of the company, it also simplifies the flow of information between the different areas / departments of the organization and establishes controls.ERP systems have another name in which it is sometimes called back office (Back office), however the ERP system as mentioned before occupies all areas of the organization thus "absorbing" the functions of CRM (Customer relationship management) which is a management model that is used in the organization and is based on customer satisfaction.

The main modules of an ERP that compose it are:

• Finance

• Sales

• Marketing

• Production

• Logistics

• Supply chain

• Order execution

• Purchasing

• Maintenance

• Services

• Projects

How technology has advanced lately, the latest generation ERPs already tend to implement in their circuits abstractions of the administration such as MECAF (Formalized Administrative Circuits Expression Method), and FAN (Formalized Administrative Notation) these two have great flexibility to give a description of different circuits used in different companies, this is how ERPs are adapted in different markets. The benefits that we can have with this management system is the solution of problems that may arise, accounting or tax problems of the company, as well as commercial problems, like all systems the ERP has several main objectives that will be mentioned below There are other things that are also remarkable about an ERP such as the unification and order that it gives to the information, thus enabling decision-making in a faster and safer way.

The main objectives of an ERP:

• Optimization of business processes.

• Access to information.

• Possibility of sharing information between all the components of the organization.

• Elimination of data and unnecessary reengineering operations.

Also, like other management systems, ERP has its characteristics and they must be comprehensive systems with modularity and adaptability:

• Comprehensive: It allows us to control the different processes that the company has and implying that all the departments of a company are related to each other.

• Modular: It tells us that a company is a set of departments that are interrelated with each other by the information they share with each other and that this is generated through their processes.

• Configurable: ERPs can be configured through developments in their code.

• Specialized: Specialized ERP provides us with existing solutions in complex areas.

Other characteristics of the ERP are:

• It has centralized databases.

• The components of an ERP interact with each other and operations are consolidated.

• Data is captured and it must be consistent, complete and common

Sometimes ERP systems are complex and difficult to implement since they need a personalized development depends on the company and must start from the initial configuration of the application, all of this requires effort and time from the company and, most importantly, money. to model all business processes. To have a successful ERP implementation, there must be a job well done, a correct methodology and aspects must be taken care of during the process, even when the system is in operation, a bad management of the system can cause many problems that will be a little complicated to solve. For this there are certain characteristics to be able to implement an ERP and they are very important to avoid future problems,One of them is to define what results we want to obtain with the implementation of the ERP, define our business model, management, our implementation strategy, quality controls.

We must also take into account other things when implementing an ERP we must take into account the size of the company, how many departments will be integrated into the system and what degree of customization we want, we must hire a service provider of this system that determines the technical structure of the ERP, and that it has a team of technical consultants, in this table we present the different levels of the ERP that are in levels, depending on the size of the company in which this management system will be applied.

ERP systems are expensive depending on the size of our company, this system has its advantages and disadvantages of its use, it saves us time in terms of work by keeping our information in a single data source, as we saw in this table depending on the level of Whether our company is large, medium or small, we have several ERP options that can help us to manage our information, carry out transactions and provide information in real time.

If a company does not have an ERP system, it is very likely that it will find closed software applications that cannot be customized and it is not useful for its business, it is important to have this management system that is flexible and adapts to our needs..

conclusion

We saw the important things that complement an ERP system, if we want to implement an ERP system well it will be expensive, but this offers organizations a profitable system in the medium and long term. Well, when establishing our strategies, we must see what is profitable for us as an organization, we must be careful when implementing this system to avoid mistakes.

As an organization we must see and take the necessary precautions when it comes to choosing a correct ERP system (it depends on the level and size of the company) and what areas will be integrated and will be interrelated. Once we have chosen the type of ERP we want for our company. We can say that the rest will be easier, simpler and that there will be problems. With a supply and a team of technicians it will be more than enough to implement this system that is not so complex if the installation is done correctly. Well, that is the primary objective of the ERP system to provide timely, truthful and reliable information for strategic planning.
